Exhibit Booth Specifications

Please read the following information very carefully, there are some new procedures for the 2023 convention that must be understood.

The Exhibit Hall will be located exclusively at the SAFE Credit Union Convention Center, Hall B. Please note ALL booth requests are subject to CDP approval and spacial limitations.

Booth Cost (10'x10'): $3,500 

Booth Details:

Booths will include one 6’ draped table, two chairs, skirting, and full pipe and drape, providing ample space for a banner or other signage.

Please note that signage MAY NOT be posted on the walls of the SAFE Credit Union Convention Center. Power and/or Internet access requests along with any additional services will incur an extra fee (please note if power/Internet is needed below). An exhibit services manual will be sent after your booth is confirmed to help you order additional services.

Please note that booth reservations will not be confirmed until payment is received.

Exhibit Booth Details / Rules of the Road

Load-in/Out Schedule:

  • Load-In: Friday, November 17 – 9:00am – 12:00pm
  • Load-Out: Sunday, November 19 – 11:00am – 12:00pm

Exhibit Hall Hours:

  • Friday, November 17 – 2:00pm – 8:00pm
  • Saturday, November 18 – 8:00am – 8:00pm
  • Sunday, November 19 - 8:00am - 12:00pm 

Staffing

All Vendors should schedule to have staff stay with your booth during all public hours.  The California Democratic Party is not liable to any exhibitor for exhibit damage, loss or destruction of exhibitor property or personal injury resulting from any cause.  The exhibitor expressly waives all claims for such loss, damage or injury. 

Additional Services / Needs / Shipping

A service kit from the convention decorator will be provided to you after your payment has been received.  Additional booth amenities will be outlined in that kit. 

You will receive your booth location upon arrival.  All booth locations are assigned at random.

Booth Cleaning

Each Exhibitor is responsible for returning the exhibit space in the same condition as it was received. Each exhibitor is responsible for cleaning their booth and leaving it in the same condition at move-out as it was at move-in.

Decorative Materials/Helium Balloons

Materials may not be taped, nailed, tacked, or otherwise affixed to ceilings, painted surfaces, fire sprinklers, columns, fabric, or decorative walls. Helium balloons are permitted at the LACC; however, they must be approved in advance and your General Service Contractor (AES) will charge a fee for retrieval of stray balloons. Additionally, all decorative materials for exhibition must be flameproof in accordance with the Public Safety and Fire Regulations. Please refer to the Fire Management Plan for additional details.

General Service Contractors/Decorators

The General Service Contractor (AES) provides Exhibitors with a wide range of services. These services include, but are not limited to:

  • Installation & dismantling of displays
  • Creating and hanging signage and banners
  • Floor covering
  • Drayage (advance and direct freight deliveries from carrier to booth)
  • Providing additional booth furniture
  • Electrical Services
  • Plumbing

Freight Deliveries Your General Service Contractor or freight handler is responsible for all material handling services for show related freight and material consigned to arrive in accordance with your contractor’s schedule.

    - Freight will be due to warehouse by TBD (directions to follow)

Hand-carried Material Hand-carried material is defined as that which can be carried in by one individual in one trip without assistance from wheeled devices. If you have more materials then one box, to be carried in one trip you must ship through the General Service Contractor, or order onsite cart service.

The general services guide will be sent to you by the General Service Contractor and will detail how this process works. Loading docks and receiving areas are staffed and managed by your General Service Contractor. All activity should be coordinated through them, including POV (Personally Owned Vehicle) programs.

All Exhibitors are expected to follow the rules set forth by the SAFE Credit Union Convention Center and summarized above.
